Privacy Policy
Last updated 19 October 2026
Draft for review — not yet in effect. The details in square brackets are still to be filled in.
This policy explains what personal data IntRpret collects when an organisation uses it, what we do with that data, where it is kept and for how long, and the rights you have. IntRpret is an AI-native HR analytics platform: organisations — our customers — connect their HR data, and their people sign in to ask questions of it.
01Who we are
IntRpret is provided by [Company legal name], [Registered office address] (“IntRpret”, “we”, “us”). For anything in this policy, write to [Privacy and legal contact email].
02Your organisation's data, and yours
IntRpret handles two kinds of personal data, in two different roles.
- HR data. When your organisation connects its HR systems or uploads files, IntRpret processes data about its people — such as job, department, manager, pay, performance, and dates of joining and leaving. Your organisation decides what to share and why: under India's Digital Personal Data Protection Act, 2023 it is the data fiduciary, and we process that data on its behalf and only on its instructions. Requests about this data — to see, correct or erase it — go to your organisation first, and we help it answer them.
- Your account and your use of IntRpret. For the people who sign in, we are responsible for the account and usage data described below.
03What we collect
- Account data: your name, work email address, organisation and role. Your password is checked by Amazon Cognito and never stored by IntRpret.
- Your questions and IntRpret's answers: what you ask, the files you attach, the answers with their charts and tables, and any feedback you give.
- What you create: KPIs, dashboards, saved plans, skills, personas and shared links.
- HR data your organisation connects, as described above.
- Technical data: the cookie that keeps you signed in, your IP address and browser, and the timings and errors of the service.
- If you request a demo on our website: your email address, the page you asked from and when.
04How we use it
- To answer your questions and run the features you use.
- To keep each organisation's data apart: every question is answered from your own organisation's data only.
- To secure IntRpret, prevent misuse and fix problems.
- To improve IntRpret, for example by studying which questions it answers badly.
- To send you messages about the service, such as sign-in and security notices.
- If you request a demo: to set it up and to send you the walkthrough you asked for. Every email has a link to remove your details.
We do not sell personal data, and we do not use it for advertising.
05How the AI uses your data
IntRpret answers with large language models that Amazon Web Services (AWS) runs through Amazon Bedrock. To answer a question, IntRpret sends the question and the data needed to answer it to a model. Under AWS's terms, that content is not used to improve the models and is not shared with the companies that make them, such as Anthropic, Moonshot AI, DeepSeek and Amazon.
Forecasts and risk predictions are built from your organisation's own history and used only for your organisation. Your organisation's data is never used to train models for anyone else.
AI can make mistakes. Every answer shows how it was worked out, so it can be checked, and no decision about a person should rest on an AI answer alone.
06Where your data is kept
Your data is stored with AWS in its Asia Pacific (Mumbai) region, in India, and is encrypted at rest.
To answer a question, some models are reached through AWS cross-region inference, which may process the request in another AWS region — within Asia Pacific, or elsewhere in the world. The request travels on AWS's own network and is encrypted on the way; what we keep stays in Mumbai.
07How long we keep it
- Conversations: 30 days, after which they are deleted. A short summary of a conversation, which helps IntRpret follow it up, may be kept for longer.
- Shared chats: until the link expires; the copy is deleted within 31 days of being shared.
- Saved forecasts: up to one year.
- KPIs, dashboards, plans and other things you create: until you or your organisation delete them.
- Account data: for as long as your account is open, then deleted unless the law requires us to keep it.
- The sign-in cookie: up to 30 days, or until you sign out.
- Demo requests: until you remove your details, which deletes your address.
- Operational logs: for a limited time, to run and secure the service.
08Security
- Data is encrypted in transit (HTTPS) and at rest.
- You sign in through Amazon Cognito, and every question is answered only from the data of the organisation you belong to.
- Our staff reach your data only as far as running and supporting the service needs.
No system is perfectly secure. If a breach affects your personal data, we will tell your organisation and, where the law requires, the Data Protection Board of India and the people affected.
11Your rights
Under India's Digital Personal Data Protection Act, 2023 you can:
- ask for a summary of your personal data and how it is processed;
- ask us to correct, complete, update or erase it;
- withdraw consent where processing relies on it;
- nominate someone to exercise these rights for you; and
- raise a grievance.
If you live elsewhere, your local law may give you similar rights. For HR data held for your organisation, contact your organisation first. For anything else, write to [Privacy and legal contact email]; we reply within the time the law allows.
12Grievance officer
[Grievance officer's name] · [Privacy and legal contact email] · [Registered office address]. If you are not satisfied with our answer, you can complain to the Data Protection Board of India.
13Children
IntRpret is a workplace service and is not meant for anyone under 18.
14Changes to this policy
We post any change here with a new date at the top. If a change is significant, we tell your organisation before it takes effect.
